AXLEFLOW Privacy Policy

Introduction

Welcome to AXLEFLOW (“AXLEFLOW,” “Company,” “us,” “we,” or “our”). AXLEFLOW operates axleflow.io and app.axleflow.io (collectively, the “Service”), a connected transportation operations platform offering dispatch management, a Driver App, accounting and driver pay tools, compliance and safety tracking, lead generation and CRM features, third-party integrations, and related managed operations services.

This Privacy Policy explains how we collect, use, disclose, safeguard, and transfer information in connection with your access to and use of the Service. We use your data to provide and improve the Service. By using the Service, you agree to the collection and use of information in accordance with this Policy. Unless otherwise defined here, capitalized terms have the meanings given in our Terms of Service, which together with this Privacy Policy form your agreement with us (the “Agreement”).

If you are an individual whose information is entered into the platform by a carrier, fleet, or broker that uses AXLEFLOW (a “Customer”) — for example, a driver, dispatcher, or shipper contact — please see Section 3 for how the controller/processor relationship affects your rights.

1. Definitions

  • Service means the AXLEFLOW platform, Driver App, and related websites operated by AXLEFLOW, including axleflow.io and app.axleflow.io.
  • Personal Data means data about an identifiable individual.
  • Usage Data is data collected automatically, either generated by use of the Service or from the Service’s infrastructure (for example, the duration of a session or a feature interaction).
  • Cookies are small files stored on your device.
  • Data Controller means the entity that determines the purposes and means of processing personal data. For personal data we collect directly from website visitors, prospects, and our own billing/account contacts, AXLEFLOW is the Data Controller.
  • Data Processor / Service Provider means an entity that processes data on behalf of a Data Controller. For driver records, load and dispatch data, documents, and shipper/customer contacts that a Customer enters into the platform, AXLEFLOW acts as a Data Processor (service provider) on behalf of that Customer, who remains the Data Controller.
  • Data Subject is the individual who is the subject of Personal Data.
  • User means any individual using the Service, including Customer administrators, dispatchers, back-office staff, safety/compliance personnel, and drivers.

2. Information We Collect

2.1 Personal Data You Provide

While using the Service, we may collect personally identifiable information, including but not limited to:

  • Email address, first and last name, phone number
  • Business name, billing address, state/province, ZIP/postal code, city
  • Login credentials and account settings
  • Payment and billing information (processed by third-party payment processors — see Section 12)
  • Driver records entered by a Customer: license and credential details, certifications, expiration dates, driver file documents, and safety incident data
  • Load, dispatch, and trip information: pickup/delivery details, trip status, and dispatcher-driver communications
  • Documents uploaded or scanned through the platform: proof of delivery (PODs), bills of lading (BOLs), rate confirmations, and receipts
  • Shipper and customer contact details entered through CRM, Lead Finder, or the Customer Portal

We may use Personal Data you provide (such as prospect or billing contact information) to send newsletters, product updates, or marketing materials. You may opt out at any time using the unsubscribe link in those communications or by contacting us.

2.2 Usage Data

We automatically collect information your browser or device sends when you visit axleflow.io or use the app, including your IP address, browser type and version, pages visited, time and date of visit, time spent on pages, device identifiers, and diagnostic data. When you access the Service via a mobile device (including the Driver App), Usage Data may also include device type, unique device identifiers, mobile operating system, and mobile browser type.

2.3 Location Data

Where a Customer or driver enables location features (for example, through the Driver App or a connected ELD/telematics integration), we may collect and store vehicle and device location data to support trip tracking, dispatch coordination, and estimated arrival features. Location sharing can generally be controlled through device settings or by the Customer administering the account.

2.4 Cookies and Tracking Technologies

We use cookies and similar tracking technologies (such as web beacons, tags, and scripts) on our website to operate core functionality, remember preferences, secure the Service, and analyze traffic. Categories we use include:

  • Session Cookies — to operate the Service
  • Preference Cookies — to remember your settings
  • Security Cookies — for authentication and security purposes
  • Advertising/Analytics Cookies — to measure site performance and, where applicable, support marketing

You can instruct your browser to refuse cookies or alert you when a cookie is being sent, though some features of the website may not function properly without them.

2.5 Information from Third-Party Integrations

AXLEFLOW is built to connect with third-party systems that a Customer chooses to integrate, such as:

  • ELD & Telematics providers — vehicle, location, and driver signal data
  • Fuel card and expense management providers — fuel and expense transaction data
  • Load boards and freight marketplaces — load opportunities and confirmations
  • Accounting platforms — invoice, payment, and ledger data
  • Factoring companies — funding status and receivables data


When a Customer authorizes such an integration, AXLEFLOW receives and processes the corresponding data under the permissions granted. We are not responsible for the independent privacy practices of these third-party providers; please review their respective privacy policies.

3. How This Policy Applies to Customer-Entered Data (Controller vs. Processor)

Much of the data flowing through AXLEFLOW — driver files, load and dispatch records, shipper contacts, documents — is entered by our Customers (carriers, fleets, and brokers) in the course of operating their business. For that data, the Customer is the Data Controller and AXLEFLOW acts as a Data Processor/service provider, handling the data only as instructed by the Customer and as described in our customer agreements and any applicable Data Processing Addendum.

If you are a driver, dispatcher, shipper contact, or other individual whose information has been entered into AXLEFLOW by a Customer, and you wish to access, correct, or delete that information, please contact that Customer (your employer or the carrier/broker you work with) directly. AXLEFLOW will assist Customers in fulfilling such requests as required by our agreements and applicable law.

4. Use of Data

AXLEFLOW uses collected data

  • Provide, operate, and maintain the Service, including dispatch, Driver App, accounting/driver pay, compliance and safety, and CRM/Lead Finder features;
  • Deliver managed operations services (managed dispatch, billing and back-office support, compliance readiness, onboarding and integrations) where a Customer has engaged us for those services;
  • Notify you about changes to the Service;
  • Allow participation in interactive features (e.g., driver check-ins, document scanning, communication tools);
  • Provide customer support;
  • Gather analytics to improve the Service and monitor usage;
  • Detect, prevent, and address technical issues and security incidents;
  • Carry out our contractual obligations, including billing and collection;
  • Send account and subscription notices, including renewal and expiration reminders (e.g., driver credential or vehicle compliance expirations);
  • Send product news, offers, and information about related AXLEFLOW services, unless you opt out;
  • Comply with legal and regulatory obligations, including recordkeeping relevant to transportation compliance; and
  • Fulfill any other purpose disclosed to you at the time of collection, or with your consent.


We do not sell driver, shipper, or Customer personal data to third parties for the third party’s own independent marketing purposes.

5. Retention of Data

We retain Personal Data only as long as necessary for the purposes described in this Policy, including to comply with legal obligations, resolve disputes, and enforce our agreements. This may include retention periods tied to transportation industry recordkeeping requirements (for example, driver qualification files and safety records). Usage Data is generally retained for shorter periods unless needed to strengthen security, improve functionality, or comply with legal obligations. Retention and deletion of Customer account data upon termination is governed by our agreement with that Customer.

6. Transfer of Data

Your information, including Personal Data, may be transferred to and processed on servers located outside your state, province, or country, where data protection laws may differ from those in your jurisdiction. AXLEFLOW is based in Canada; if you are located outside Canada and provide information to us, that information will be transferred to and processed in Canada. Your use of the Service and provision of such information represents your agreement to this transfer. We take reasonable steps to ensure your data is treated securely and that no transfer occurs to an organization or country without adequate controls in place.

7. Disclosure of Data

We may disclose Personal Data that we collect or that you provide:

  • For law enforcement: where required by law or in response to valid requests by public authorities.
  • For business transactions: if AXLEFLOW is involved in a merger, acquisition, financing, or asset sale, Personal Data may be transferred as part of that transaction.
  • To affiliates and subsidiaries.
  • To service providers and contractors who support hosting, payments, analytics, customer support, and similar functions.
  • To integrate third-party platforms authorized by a Customer (ELD, accounting, factoring, load board, and fuel card providers).
  • To manage services personnel where a Customer has engaged AXLEFLOW’s managed dispatch, billing, or compliance support services.
  • With your consent, in any other case.
  • To protect rights and safety: where we believe disclosure is necessary to protect the rights, property, or safety of AXLEFLOW, our Customers, drivers, or the public.

8. Security of Data

The security of your data matters to us, but no method of transmission over the internet or method of electronic storage is completely secure. We use administrative, technical, and physical safeguards — including encryption in transit, access controls, and monitoring — designed to protect Personal Data, but we cannot guarantee absolute security.

9. Your Data Protection Rights Under the GDPR

If you are a resident of the European Union (EU) or European Economic Area (EEA), you have certain rights under the General Data Protection Regulation (GDPR). We aim to take reasonable steps to allow you to correct, amend, delete, or limit the use of your Personal Data. Where AXLEFLOW is the Data Controller of your information (see Section 3), you may:

  • Access, update, or request deletion of the information we hold about you;
  • Request rectification of inaccurate or incomplete information;
  • Object to our processing of your Personal Data;
  • Request restriction of processing of your Personal Data;
  • Request a copy of your Personal Data in a structured, machine-readable format (data portability);
  • Withdraw consent at any time where processing is based on consent; and
  • Lodge a complaint with a Data Protection Authority in the EEA.


We may ask you to verify your identity before responding to such requests. Note that we may not be able to provide certain features of the Service without some necessary data. To make a request, contact us using the details in Section 15.

10: Canadian Privacy Rights (PIPEDA & Ontario Law)

As a business headquartered in Ontario, Canada, Axle Flow collects, uses, and discloses personal information in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA).

​Correction: Request updates or corrections to any inaccurate or incomplete personal information.

11. Payments

The Service offers paid subscription plans. We do not store your full payment card details ourselves; that information is provided directly to our third-party payment processor(s), whose use of your data is governed by their own privacy policy and who maintain compliance with the Payment Card Industry Data Security Standard (PCI-DSS). Details of the specific payment processor(s) used by AXLEFLOW are available on request or in our Terms of Service.

12. Service Providers, Analytics, and Advertising

We may use third-party companies and individuals (“Service Providers”) to facilitate the Service, provide it on our behalf, perform Service-related functions, or help us understand how the Service is used. These providers have access to Personal Data only as needed to perform their functions and are contractually obligated not to disclose or use it for other purposes. Categories of Service Providers we may use include:

  • Hosting and infrastructure providers, to run and store the Service and its data;
  • Analytics providers (e.g., website and product analytics tools), to help us understand usage of axleflow.io and the platform and improve the Service;
  • Customer support and communications tools, to manage inquiries and account communications; and
  • Advertising and remarketing providers, which may use cookies to serve AXLEFLOW ads on other websites based on your prior visits to axleflow.io. Where we use such providers, you can typically manage ad personalization through that provider’s own opt-out tools or through industry opt-out pages such as the Digital Advertising Alliance (www.aboutads.info/choices) or the Digital Advertising Alliance of Canada (www.youradchoices.ca), as applicable.

13. Links to Other Sites

The Service may contain links to third-party websites that are not operated by AXLEFLOW, including integration partners and resources referenced in our Resource Library or Blog. If you click a third-party link, you will be directed to that site, and we strongly encourage you to review its privacy policy. We have no control over, and assume no responsibility for, the content or privacy practices of any third-party site or service.

14. Children's Privacy

The Service is designed for business use by transportation companies, fleets, brokers, and their authorized personnel, and is not directed to individuals under the age of 18 (and in no case under 13). We do not knowingly collect personal information from children. If you believe a child has provided us with Personal Data, please contact us, and we will take steps to remove that information from our systems.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or the Service itself. We will post the updated Policy on this page and revise the “Last Updated” date. For material changes, we will provide notice via email and/or a prominent notice on the Service prior to the change taking effect. We encourage you to review this Policy periodically. Continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
